Job Summary: The Alabama School of Healthcare Sciences is seeking a dedicated and
experienced Administrative Assistant to support the President. The ideal candidate will
demonstrate commitment to the vision and mission of the school, perform secretarial duties,
coordinate appointments, and manage communications and correspondence.
Qualifications:
- Associate’s or Bachelor’s degree preferred.
- Secretarial training of considerable variety and complexity.
- Minimum of five years of secretarial experience preferred.
- Administrative Assistant/Management Assistant experience preferred.
- Meet background requirements as specified by Alabama statutes and State Board of Education.
Required Duties and Responsibilities:
- Demonstrate loyalty and support to the President.
- Perform secretarial duties for the President.
- Coordinate appointments, calendar, and reservations for the President.
- Organize an effective office with attention to administrative detail.
- Process communications and correspondence, and distribute mail, faxed documents,
and emails related to the Office of the President. - Prepare and maintain memorandums, letters, reports, and other correspondence for the President.
- Serve as the receptionist to the President’s Office.
- Maintain records related to the President’s office.
- Prepare and distribute materials to the President’s Leadership Team and Board
members prior to meetings. - Coordinate and prepare meeting rooms.
- Coordinate assignments and deadlines with other department secretaries and
administrators for the President. - Prepare Board agendas, correspondence, and other communications of the Board as needed.
- Serve as the Board’s secretary.
- Attend Board meetings, take minutes, and keep official minutes of all Board of Trustees meetings.
- Route complaints and concerns to the appropriate department and personnel.
- Take leave time in accordance with Board policy.
- Assume other reasonable and equitable job-related duties assigned by the immediate supervisor.
Knowledge, Skills, and Abilities:
- Ability to maintain confidentiality of specified information as required.
- Ability to conference with visitors in person or on the telephone in a pleasant, courteous manner.
- Ability to communicate effectively both orally and in writing.
- Ability to use excellent English, grammar, spelling, and punctuation.
- Ability to use computer skills required to do spreadsheets, word processing, and record keeping.
- Ability to distribute documents in an efficient and effective manner.
- Ability to establish and maintain effective relationships with others.
- Ability to work with and without supervision.
- Ability to organize materials and maintain accurate records.
- Comprehensive knowledge of office procedures, practices, operations, and equipment.
- Knowledge of school system functions, departments, personnel, and schools necessary for the efficient and effective processing of communications.
- Ability to be punctual and in regular attendance.
- Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment.
Terms of Employment: Salary and benefits shall be paid consistent with the school’s approved compensation plan. Length of work year and hours of employment shall be those established by the school.
Evaluation: Job performance will be evaluated by the immediate supervisor based on Board
policy.
